1. Who we are
This website and the WIMVO cold storage management software are operated by WSE Infratech Pvt. Ltd. ("WSE", "we", "us" or "our"), a company registered in India with its office at 25A Shakespeare Sarani, The Legacy, 3rd Floor, Unit 35A & 35B, Kolkata - 700017, West Bengal, India. WIMVO is a registered product of WSE Infratech Pvt. Ltd.
This policy follows the Digital Personal Data Protection Act, 2023, the rules made under it, and the Information Technology Act, 2000, as applicable.
2. Our role with your data
We handle personal data in two different roles, and your rights work slightly differently in each.
When we decide how data is used (Data Fiduciary)
This covers people who visit our website, request a demo or contact us, and the business contacts of the cold storage operators who use WIMVO.
When we process data for a cold storage operator (Data Processor)
Cold storage operators use WIMVO to manage farmers, traders, bookings, stock, billing and dispatch. For this data, the cold storage operator is the Data Fiduciary and decides why the data is collected. We process it only on their instructions and under a written agreement with them. If you are a farmer or trader, the cold storage where you booked space is your first point of contact for questions about your data.
3. Data we collect
From website visitors and enquiries
- Name, business name, phone number, email address and the message you send us.
- Basic technical data such as IP address, browser type, device type and pages visited.
Through the WIMVO software, on behalf of cold storage operators
- Identity and contact details: name, mobile number, address, supplier class (farmer, grower or trader) and identity proof type and number collected for KYC. Where Aadhaar is used, it is stored and displayed only as permitted by law.
- Booking and stock details: Enrollment ID, Lot Code, potato variety, bag counts, booking dates, vehicle numbers, weights, quality inspection notes and storage location.
- Transaction details: advance payments, bills, payment status and gate pass records.
- Staff user details: name, role and login details.
For WhatsApp alerts
- Your mobile number, your consent record (when and how you agreed), the alerts sent to you and their delivery status.
4. How we use it
We use personal data only for these purposes:
- To run cold storage operations for the operator: enrollment, weighment, inspection, storage, picking, billing and dispatch.
- To send WhatsApp transaction alerts you have agreed to receive.
- To reply to enquiries and demo requests.
- To provide support, keep the software secure and prevent fraud, such as misuse of a lost bond booklet.
- To meet legal, tax and regulatory requirements.
We do not use personal data for advertising, and we do not sell it.
5. WhatsApp alerts
What we send
Automated alerts about your own transactions: booking confirmation and Enrollment ID, stock received after weighment and inspection, pickup and dispatch status, bills and payment confirmation, gate pass issued, and balance bags after each pickup.
Your consent
Alerts are sent only if you agree when you enroll with the cold storage. The consent names the business you will receive messages from. We keep a record of your consent.
Replies
The WhatsApp number is used only to send alerts. Replies are not monitored or answered. For any question, contact the cold storage office directly.
How to stop
Tell the cold storage office, or write to us at support@wseinfratech.com. We will stop alerts to your number within [X] working days. Stopping alerts does not affect your booking or stock.
Meta's role
Alerts are delivered through the WhatsApp Business Platform, provided by Meta, through our service provider [WhatsApp Business Solution Provider name]. Meta handles message delivery under its own terms and privacy policy.
7. Storage and security
WIMVO runs mainly on the cold storage operator's own local network. Copies needed for remote reports and approvals are stored in the cloud with [hosting provider] in [India / region].
- Data is encrypted in transit.
- Access is controlled by user role and permissions.
- Backups are taken daily, with an offsite copy.
If a personal data breach occurs, we will inform the affected cold storage operator, the Data Protection Board of India and affected people, as the law requires.
8. How long we keep it
- Website enquiries: up to [24] months after our last contact with you.
- Cold storage records: as long as the operator instructs and the law requires, for example for tax and accounting records.
- WhatsApp alert logs: up to [X] months. If you opt out, we keep a record of the opt-out so we do not message you again.
After that, data is deleted or anonymised.
9. Your rights
Under Indian data protection law, you can:
- Ask for a summary of the personal data held about you and how it is used.
- Ask us to correct, complete, update or erase your data.
- Withdraw consent at any time. This does not affect anything done before you withdrew it.
- Nominate another person to act for you in case of death or incapacity.
- Raise a grievance with us, and then with the Data Protection Board of India if it is not resolved.
For records held in a cold storage operator's system, please contact the operator first. We will help them respond.
11. Children
This website and our services are meant for businesses and adults. We do not knowingly collect personal data from anyone under 18.
12. Changes to this policy
We may update this policy from time to time. The "Last updated" date at the top shows the latest version. If a change affects how we use your data, we will tell you before it takes effect.
